Machu Picchu Travel Checklist: Your Final Departure Checks
Updated
Confirm original ID, issued tickets, pickup, train reporting, guide meetings and return connections with this final Machu Picchu travel checklist.
Quick answer
- Use the final 24–48 hours to turn confirmed bookings into a place-time-contact plan, not to assume pending services are ready.
- Pickup, bimodal reporting, rail boarding, guide meeting and site entry are separate milestones.
- Locate required original ID and issued tickets; test actual files offline before leaving Wi-Fi.
- Work backward from return reporting, including descent, luggage collection and the final transfer.
- Give each unresolved item an owner and update deadline; agree any fallback spending before relying on reimbursement.
Complete the operating checks during the final 24–48 hours and follow any earlier supplier deadlines. This is not a new booking timetable or medical-clearance process. The booking-document audit owns mismatched documents; the packing checklist owns the full equipment list. Here you turn resolved bookings into a usable departure-day handoff.
The evening before: choose one final itinerary and identify what is pending
Ask which itinerary is the current operating version and label it with its revision date or message timestamp. Keep the issued documents beside it, and remove obsolete pickup instructions from your quick-access folder. Each traveler needs the same current plan, not a different screenshot from a long conversation.
Mark each stage ready, pending or traveler action required. Ready means the required document or explicit operating confirmation is available. Pending means a particular detail is missing, with an owner and next update time. Traveler action identifies a decision, agreed payment or information still needed from you. A payment receipt does not by itself prove admission issuance or a guide meeting.
Read the whole chain: accommodation departure, road leg, reporting point, train, arrival, guide, shuttle, admission, descent, return and drop-off. Add the hotel night and breakfast for overnight trips. If identity, dates or route labels conflict, use the document audit and responsible issuer rather than leaving the discrepancy for the queue.
Copy this Machu Picchu predeparture readiness worksheet
Fill these fields from your own issued services and confirmed operating instructions. Use Peru local time, including the calendar date where a very early departure could be confused with the previous evening. Write not included or not applicable instead of leaving an ambiguous blank. Do not invent a time to complete the worksheet.
Keep the full private itinerary securely. A coordination copy for a wider group should not expose identity numbers, ticket codes or medical details. For each missing item add: responsible person or duty role; verified channel; update due; next escalation if overdue.
- Plan: visit date; party count; itinerary version; operating contact; stated contact hours; backup channel if provided.
- Documents: originals physically located for every traveler; admission and rail tickets available; any remaining collection or print requirement; discount evidence if applicable.
- Outbound: pickup address and position; pickup time; driver recognition; road leg; bimodal reporting point if used; actual rail station; reporting and departure times.
- Visit: arrival handoff; guide meeting and recognition; assignment owner if pending; uphill/downhill shuttle arrangement; full route label and entry hour; agreed service end.
- Return: descent plan; bag collection location and deadline; station reporting; rail service and arrival station; final driver meeting and drop-off address.
- Practical: storage custody/hours/charge; breakfast and meals; toilet opportunities; medication and agreed assistance; offline backup.
- Fallback: reporting trigger; first contact and backup; authorized action; spending approver, amount and currency; initial payer; explicit reimbursement agreement if any.
Locate original ID and distinguish an issued ticket from a purchase voucher
Physically locate the original identity document required for each reservation. Keep the admission ticket, outbound and return rail documents, shuttle tickets or delivery instructions, and any required concession evidence accessible. Know which document you show at each checkpoint. A package invoice is not a substitute for every underlying ticket.
PeruRail’s travel recommendations accept digital or printed rail tickets alongside a valid passport or identity card. That is a rail instruction, not proof of a universal phone-only admission rule. Check your site ticket and any supplier-specific printing instructions separately. A phone photograph is backup, not an assumed replacement for the required original identity document.
Inca Rail’s FAQ describes both purchase-voucher exchange and boarding passes in confirmation emails. Open your actual attachments and ask whether you have a usable boarding pass or a voucher requiring collection. If collection remains necessary, establish the location, required documents and completion time before reporting. Do not assume every email is boarding-ready or that every passenger needs an exchange.
The Ministry platform terms tie admission to the purchased date/hour. Ordinary name/date restrictions have specified exceptions, including passport-number material errors and qualifying exceptional events, but a request is not approval. Unresolved identity changes need case-specific issuer instructions through the passport-booking guide, not an improvised document bundle.
Separate hotel pickup, bimodal reporting and the actual train station
Accommodation pickup, supplier reporting and train departure are different commitments. Confirm the exact hotel address and meeting position: reception, street entrance or another accessible point. If you change hotels, get acknowledgment from the team operating the transfer, not merely a message sent to sales.
For bimodal bus-and-train journeys, the initial road-leg reporting point may differ from the station where you physically board the train. Copy both locations from your issued service instructions. A Cusco departure does not prove that the rail leg begins at your hotel or in central Cusco; your booked service determines the chain.
The reviewed PeruRail recommendations say to be at the station 30 minutes before departure; the reviewed Inca Rail contract advises at least 30 minutes. These are operator station-reporting instructions, not hotel departure times, allowance for ticket collection or a Machu Picchu gate buffer. Follow the booked service’s current instructions where they require a different or additional reporting stage.
Confirm driver recognition through your verified contact before accepting an unexpected change. Independently booked road transport needs its own responsibility boundary and delay-reporting plan. A late transfer does not establish that the train will wait. The train guide explains service choices; your issued documents control departure.
Check the forward connection: arrival, guide, bus and ticketed entry
Write arrival station → meeting point → guide handoff → shuttle arrangements → entrance procedures → ticketed admission. For every move, identify who leads it and the time allowed. Include a hotel stop, luggage deposit or ticket collection if it actually applies. A rail arrival is the start of another connection, not the end of the plan.
Agree an exact guide meeting description and recognition instructions, not simply meet in Aguas Calientes. If the name is assigned later, record the assignment owner and update deadline, plus the contact responsible until the guide handoff. Confirm group arrangement and language against your booking.
Ask the operating team to validate your actual train arrival against the guide meeting, shuttle queue and printed entry hour. An uphill shuttle ticket does not guarantee priority boarding. Do not plan against an assumed late-entry grace period or replace a bus ascent with an unannounced walk.
Read the complete circuit and route label rather than Machu Picchu included. Compare the circuit overview if the experience is unclear, then resolve any mismatch before departure. A guide cannot guarantee a different route or an admission exception.
Rehearse the journey with no signal and a dead main phone
Download the actual files, not just cloud links or attachments you have never opened. Test each ticket and meeting instruction in airplane mode; confirm the text and codes remain readable. If a required document still needs a login or internet connection, ask its issuer for an accepted offline alternative.
Now assume the lead traveler’s phone fails. Can someone else find the pickup point, correct station, return instruction and verified contact? With consent, give a companion access to essential meeting information and their needed documents. A paper contact sheet is useful backup; it does not replace an original identity document or a supplier’s presentation requirement.
Charge devices and permitted backup power, keep essentials out of stored bags, and agree a reunion point if separated. Re-enable connectivity after the rehearsal. Protect sensitive files instead of forwarding the whole evidence pack into an open group chat.
Split stored luggage, the rail bag and the archaeological-site day bag
Plan three destinations for your belongings: confirmed storage, the bag traveling by rail and the day bag entering Machu Picchu. These can overlap only if the relevant rules allow it. Train acceptance does not establish site acceptance; trekking gear is not automatically appropriate inside the archaeological circuit.
The reviewed PeruRail dedicated luggage page and general travel-recommendations page describe different dimensions and options. Do not combine them into a guessed allowance. Check the dedicated policy for your exact route/service and ask PeruRail to resolve any difference with the instructions you received. Inca Rail has its own contract and service conditions; do not apply another operator’s allowance.
For stored bags confirm location, custody, opening and collection hours, charge and payment method. Check whether pickup is possible before your return reporting deadline. A general mention of station storage does not prove that your location, hours or booking qualify. Keep original ID, tickets and medication with you.
Use the packing guide for the full clothing list and the entry-rules guide for equipment restrictions. This final check is about compliance, accessibility and collection, not buying more gear.
Place breakfast, water and toilet stops in the operating plan
Check breakfast against the actual pickup time. An included hotel breakfast does not establish that it opens early enough or that a takeaway is supplied. Ask what has been agreed and where the next practical meal opportunity falls. Confirm dietary arrangements with the meal provider, not only the salesperson.
Verify permitted food and drink containers against current site rules. Something suitable on the train may not be permitted inside the archaeological site. Plan toilet use before entering the circuit rather than relying on facilities within it; check current entrance facilities, opening arrangements, charges and payment options.
Do not build the visit around leaving and re-entering unless that is expressly allowed for your ticket. Keep suitable local payment options for agreed exclusions, but do not invent a standard cash amount from another tour. Meals, shopping and optional activities must not consume the time needed for descent, baggage collection and return reporting.
Confirm individual assistance and escalate unresolved health concerns
Discuss functional needs privately: steps, pace, balance, boarding, carrying a child or managing luggage. Confirm who provides any agreed help at each transition and its limits. Do not infer guaranteed step-free access, staff lifting, wheelchairs or a different route from a general offer to help. Check required child documents and any relevant equipment conditions.
The reviewed Inca Rail contract asks for transfer-assistance requests at least 48 hours before departure. If that applies to your service, act at the start of this checklist window or earlier and confirm acceptance. Submitting a request does not guarantee the requested assistance, and a late request needs direct supplier review.
CDC recommends reviewing vaccines and medicines with a clinician at least a month before travel. A 24–48-hour checklist cannot replace advance medical preparation. Here, confirm previously planned medication supplies, prescriptions, insurer assistance and unresolved health questions for your full Peru itinerary.
New, severe or worsening symptoms require qualified medical assessment; a prepaid reservation is not medical clearance. In an emergency prioritize appropriate emergency help, then notify the operating contact when safe. Do not treat a guide or routine WhatsApp coordination as a medical service.
Work backward from return reporting to your site exit
Start with the required return reporting time, not just departure. Work backward through station approach, bag collection, any meal or toilet stop, descent and queue, then site exit. Ask the operating team to validate the resulting visit-finish plan for your actual ticketed route and arrangements rather than borrowing an online circuit duration.
Confirm where guided service ends. A guided site visit does not automatically include station escort, bag collection or final hotel transfer. Check the return station and destination independently of the outbound journey, including any rail-to-road bimodal handoff.
Record the final driver meeting, recognition method and drop-off address. A Sacred Valley drop-off instead of Cusco needs written agreement and any revised charge. A separate onward flight or independently booked connection needs its own review; do not assume the earlier supplier protects it.
A worked readiness example: one missing handoff is not an all-clear
Illustrative example, not a real schedule: three travelers have issued admission and rail tickets, separately booked accommodation and a confirmed hotel pickup. Their guide meeting instruction is still missing. They mark documents and pickup ready, guide handoff pending, and name the person responsible for the next update before they leave reliable connectivity.
Their chain is hotel release → road reporting if applicable → rail boarding → town arrival → written guide meeting → shuttle/entry → agreed guiding end → descent → stored-bag collection → return reporting → final driver. They insert their actual times and supplier details; no sample timetable overrides the booked service.
If the guide update deadline passes, they contact the named owner and agreed backup. They do not silently tick the whole trip ready. If the response changes the meeting or descent plan, they recheck affected connections and save the new final version. The example shows a decision process, not a promise that an operator will resolve the issue.
Stop unresolved stages, agree fallback authority and send a final read-back
Stop means do not treat the affected stage as confirmed, not abandon a safe location or ignore official instructions. Escalate an unissued admission, unresolved identity mismatch, unknown boarding point, impossible connection or essential unconfirmed assistance to its responsible provider. If a driver or guide is missing, report from the agreed location unless safety or official instructions require moving.
Before relying on a paid fallback, establish the approving person, authorized action, amount and currency, initial payer and explicit reimbursement terms if any. Keep receipts and messages, but receipts do not create authorization. A fallback budget cannot guarantee replacement inventory, a held departure, late entry or a refund. Use the disruption guide for incident-specific response.

For an initial coordination enquiry send only your date, party size and missing stage or instruction. Do not send passport scans, full identity numbers, medical records or ticket QR codes. Confirm the recipient and private submission method if sensitive evidence is genuinely needed later. Independently booked suppliers need the connection information relevant to their own role, not your entire document pack.

Ask on WhatsAppMachu Picchu Travel Checklist: Your Final Departure Checks: FAQ
When should I complete the Machu Picchu travel checklist?
Use the final 24–48 hours for operating checks, but follow earlier supplier deadlines for assistance, documents or changes. A missing essential item needs an owner and update deadline, not a ready tick.
Is a tour invoice enough for admission and train boarding?
Not necessarily. Identify the issued admission and rail documents required at each checkpoint and complete any confirmed collection step. A package payment record is not proof that each underlying ticket is issued.
Can a phone photo replace my original passport?
Do not assume so. Locate the required original document for each traveler and obtain case-specific issuer instructions if it is missing or replaced. Digital rail-ticket acceptance does not create an identity-document exception.
Should I arrive 30 minutes before my hotel pickup or train?
The reviewed rail instructions concern station reporting before the relevant train departure. Hotel pickup, bimodal road reporting, ticket collection and travel to the station are separate stages with their own confirmed instructions.
Does bimodal reporting happen at the train station?
Not necessarily. A combined road-and-rail service can start at a road-leg reporting point before reaching the actual rail boarding station. Record both from your issued service instructions.
Does every Inca Rail purchase voucher need exchanging?
The official FAQ describes both voucher exchange and boarding passes in confirmation emails. Inspect your actual documents and ask whether a remaining collection step applies; neither a universal exchange nor automatic boarding readiness should be assumed.
Can one luggage allowance cover the train and Machu Picchu?
No. Verify the booked rail service and archaeological-site rules separately. Resolve conflicting official rail instructions with the operator and confirm storage and collection for unsuitable items.
How do I protect the return train connection?
Work backward from required reporting through station approach, baggage collection, practical stops, descent and site exit. Have the operating team validate the actual plan and confirm where guided service ends.
What if I feel unwell just before departure?
Seek qualified medical advice; severe or worsening symptoms need prompt assessment. Notify the operating contact when safe. This checklist and a prepaid booking are not medical clearance or a substitute for advance health preparation.
Will fallback taxi or replacement-ticket spending be repaid?
Do not assume reimbursement. Confirm the authorized action, approver, amount, currency and payment terms before relying on it. Receipts document spending but do not guarantee repayment or replacement availability.
How do I check tickets if the main phone fails?
Test actual files offline and keep a private backup of required tickets and meeting instructions. A cloud link that needs a login is not an offline file; backups do not replace required original ID.
Does confirmed pickup mean our whole visit is ready?
No. Verify each downstream handoff, issued document and return stage. Give every unresolved essential item an owner and update deadline instead of treating one confirmed service as an all-clear.
Still have a question?
Share your date, group size and the missing handoff. Ask whether coordination is available; the responsible supplier decides changes and costs. Do not send identity files or ticket codes in your first enquiry.
